Conferences are among the most logistically demanding events to run — combining venue management, speaker coordination, delegate registration, AV production, and catering across a full day or multiple days. A checklist isn't optional here; it's your operating system. This conference planning checklist is structured for events ranging from a 50-person half-day summit to a multi-day conference with hundreds of delegates.
A small half-day summit of 50–80 people can be planned in eight to ten weeks. A full-day conference of 200+ delegates with multiple speakers, exhibitors, and sponsors needs twelve to twenty weeks. The long lead time is driven by speaker availability, venue booking windows, and the time needed to build a quality delegate registration campaign.
AV failure during a keynote presentation. Mitigate it by: doing a full AV rehearsal the afternoon before with all slide decks loaded; having a USB backup of every presentation; testing all microphone channels; and assigning one dedicated AV operator whose sole focus is technical management throughout the day.
Brief all speakers clearly at the start: 'We'll give you a two-minute warning and a cut signal — please honour them as the next speaker is ready to go.' The MC should stand and walk toward the lectern at the two-minute mark. If a speaker still runs over, the MC should politely but firmly close the session with 'We have time for one last question.' Clear communication before the event prevents almost all over-runs.
