A great kids' birthday party is equal parts planning and energy management — yours. The secret is to lock in the big pieces early (venue, entertainment, cake), keep the schedule tight, and prepare for the glorious chaos that comes with a room full of excited children. This checklist breaks the planning into manageable stages so you can focus on the fun part: watching your child celebrate with their friends.
Two hours is the ideal length for children under eight. Toddler parties can be as short as 90 minutes. Older children aged 9–12 can handle two and a half to three hours, especially if there's structured entertainment. Beyond that, energy flags and parents start circling. Build your run sheet around a 2-hour window: 20 minutes arrival and free play, 40 minutes activities, 30 minutes food, 20 minutes cake and singing, 10 minutes loot bags and goodbye.
Ask about allergies on the invitation and follow up personally with the parents of any children with allergies. Common ones: nuts (especially peanuts), dairy, eggs, and gluten. Label any allergen-free items clearly and keep them separate from other food. Have a small dedicated allergy-safe plate prepared for affected children. When in doubt, go nut-free for the whole party — it's the safest and simplest approach.
For children under five, one adult per two children is recommended. For ages 5–8, one adult per four to five children. For older children with a hired entertainer, the entertainer manages the group and you need fewer supervising adults. Always have at least two responsible adults present regardless of the child-to-adult ratio, so one can manage an issue without leaving the group unsupervised.
