Place the live auction after the main course when guests are satisfied and in a generous mood — avoid scheduling it during entrée or after dessert when energy drops.
The fund-a-need moment (where guests pledge without receiving a specific item) should be preceded by the most powerful impact story of the evening.
Ensure the auctioneer has access to a bidder registration system and that paddle numbers or mobile bidding is explained to guests on arrival.
Silence the room completely during emotional story segments — coordinate with AV team to cut background music and instruct staff to pause service.
Have a runner or spotter system on the floor during the live auction to identify bids clearly and quickly to the auctioneer.
The sweet spot is between the main course and dessert, when guests are comfortable, well-fed, and still energised. Avoid running a live auction too late in the evening when energy levels have dropped and some guests may be preparing to leave.
Between five and ten lots is ideal for a dinner event. Fewer than five can feel underwhelming; more than ten risks losing audience attention and extending the program too long. Prioritise quality and aspirational value in the lots you select.
