    Load-In

    The process of bringing all equipment, staging, and décor into a venue before an event begins.


    Load-in is the first phase of on-site event production. It involves transporting and positioning everything from PA speakers and lighting rigs to furniture, floral arrangements, and signage. Coordinating load-in requires careful scheduling to sequence different vendors — heavy staging equipment must be installed before lighting rigs are flown, and florists typically work last. Access restrictions, lift sizes, and loading dock hours must all be confirmed in advance.
