Wedding Seating Chart

Your Wedding Seating Chart, Done Properly

Assign every guest to a seat, manage last-minute RSVPs, and hand your venue a clean seating plan — all from the same tool you use for your wedding run sheet.

How to create your wedding seating chart

Three steps from blank canvas to a seating plan your venue can use.

    01

    Add your tables

Create a head table for the bridal party, round guest tables numbered by group, and any special arrangement — cocktail tables, kids' table, family VIP section.

    02

Import or add your guest list

Type guest names directly into seats. Run Sheets builds your guest list as you go, so there's no separate import step required.

    03

    Assign and adjust

Drag guests between seats, swap tables, handle late RSVPs, and manage plus-ones — right up until the day of the wedding. Export to CSV for your venue.

    Built for real wedding logistics

Not just a grid of boxes — a seating tool that handles the messy reality of wedding guest lists.

    Head table & guest tables

Set up your bridal party head table separately from round guest tables. Name each table and set exact seat counts.

    Guest list auto-sync

Every name you assign to a seat is automatically added to your master guest list. No double entry, no spreadsheet juggling.

    Multiple seatings

Create a separate seating plan for your ceremony and your reception — both visible inside the same wedding event.

    Export for your venue

Export the completed seating chart to CSV and share it with your venue coordinator, caterer, and wedding planner.

    VIP & family sections

Name tables anything you like — 'Parents', 'Bridal Party', 'Table 1' — and group them however makes sense for your layout.

Part of your full wedding run sheet

Your seating chart lives inside your wedding event, alongside your run sheet, task list, and budget — all in one place.

Wedding seating tips from experienced planners

A good seating chart is one of the highest-impact things a wedding planner can deliver. Here's what the pros do differently.

Seat immediate family close to the head table or dance floor
Group guests who know each other — school friends, workmates, family branches
Keep the DJ or band noise in mind when placing elderly guests
Create a dedicated kids' table near parents but away from the speeches
Have a plus-one strategy ready before you start — it saves significant rework
Add a note column to track dietary requirements next to each seat

    Wedding run sheet included

Your seating chart is part of your wedding event in Run Sheets — which also includes your run sheet, task list, and budget. Everything your planning team needs, in one place.

Wedding seating chart — common questions

How do I create a wedding seating chart?

In Run Sheets, open your wedding event and go to the Table Planner. Add a head table for the bridal party, then create numbered round tables for your guests. Type each guest's name into a seat — matching names from your guest list appear as suggestions. When you're done, export to CSV to share with your venue.

Should I do the ceremony seating and reception seating separately?

For most weddings, the ceremony and reception use entirely different layouts. Run Sheets lets you create multiple seating plans within a single event, so you can keep them separate and clearly labelled without any confusion.

How do I handle last-minute RSVP changes?

Just open the table planner and move or remove guests from their seats. Changes take effect immediately, so your team always has the latest version. Export a fresh CSV whenever you need to send an update to the venue.

What's the difference between a seating plan and a seating chart?

They're the same thing — a document that shows which guest sits where. Some planners call it a seating chart, others a seating plan or table plan. Run Sheets uses 'seating plan' in the app but it covers the same use case.

Can my wedding planner access the seating chart?

Yes. You can share access to your Run Sheets event with your wedding planner so they can view and edit the seating plan directly — no need to email updated spreadsheets back and forth.
